Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA. The American Psychological Association (APA), a leading scholarly and professional society based in Washington DC, with a large publishing program of journals, books, videos, and online solutions for scholars and students, is looking to appoint an Operations Specialist for its books fulfillment publishing organization. The Operations Specialist will manage and execute day-to-day functions/tasks to support fulfillment of the books' publication program, in collaboration with internal and external business partners to support the business process management and implementing best practices to APA's business.
Education and Experience Required : - Bachelor's degree with 1 year of working experience in publishing
- Minimum of 2 years of experience working with book programs or a minimum of 5 years of working within a book publishing environment
- Ability to think strategically while balancing and prioritizing competing tactical requirements
- Knowledge of and experience with book fulfillment systems and processes, or transferrable skills from experience with another customer/product fulfillment system and process.
- Ability to establish relationships and facilitate collaboration and communication with internal and external partners and colleagues
- Experience in customer service and with printers and book resellers, such as Amazon, preferred
- Demonstrated ability to provide high level of service, creativity, and work ethic with attention to detail
- Experience contributing to process improvement projects, data entry, and initiatives
- Demonstrated interpersonal skills and organizational skills
Computer Skills (including level of expertise):
- Experience with Microsoft Office Excel - intermediate level of expertise required
- Experience with a Title Management System, preferably Firebrand - intermediary level of expertise preferred
- Experience with project management methodology and software tools - intermediary level of expertise preferred
Responsibilities :
- Track and measure service levels of internal and external business partners, with a solution-oriented mindset, relying on ability to investigate issues autonomously, but escalate when necessary (e.g. tracking/canceling Amazon fulfillment orders as needed).
- Confidently perform routine data entry, management, and analysis to support book fulfillment operations, as well as strategic initiatives (e.g. updating all Books systems across the program for accurate data; interfacing with Amazon's Vendor Central).
- Extract and manipulate data from various reporting environments to deliver agreed upon reports (e.g. stock availability, reporting on monthly fulfillment processes).
- Manage inventory receivers, monitor stock availability and provide timely and accurate information to all APA Books stakeholders as well as external APA Books customers.
- Manage and process all consignment orders from order entry to fulfillment to shipment and maintain a favorable working relationship with all distribution partners. Process monthly consignment sales.
- Provide management support by identifying trends and contributing to the development of strategies to assist in decision making process (e.g. Print on Demand, Short Runs).
- Update and maintain publication data in Business Central for all titles
- Uphold relationship with various supply-chain partners via effective execution of day-to-day operations, as well as timely response and effective solutioning of requests/concerns.
- Work closely with internal IT groups to create/manage operational and/or project work in ticketing system (Jira) as they relate to book fulfillment.
- Manage day to day operational work within Vendor Central for Amazon, ensure orders are processed without error and maintain a favorable working relationship with this select business partner. Manage and resolve all Amazon shortage claim disputes and pricing discrepancies and monitor chargebacks and compliance issues.
- Work within Business Central to manage EDI processing for all book orders. Resolve EDI related issues within BC to ensure the continuous processing of orders.
- Manage book orders and resolve all errors with order processing within Business Central.
- Work closely with internal Service Center to manage customer-oriented issues/solutions.
- Oversee sales order data in Business Central and collaborate with internal teams (finance, service center, ITS) in order to maintain data integrity and resolve invoicing issues.
- Work with books warehouse to resolve errors and ensure all returns are processed in a timely and accurate manner. Work with external customers and the Finance team to issue credit memos and resolve invoicing errors caused by returned items.
